Hubstaff vs Time Doctor (2026): features, prices in ₹ and which to pick

Hubstaff is the better pick if your team works in the field or you want payroll payouts and client invoices in the same tool. It has GPS job sites with geofencing, client invoices on every plan and the lower starting price. Time Doctor is the better pick if your priority is close monitoring of computer work. It adds video screen recording, shows no seat minimum and gives web and app usage on Standard and above. Both bill in US dollars, so Indian buyers also pay 18% GST and usually a card forex fee.

A team of 10, per month with 18% GST (annual billing)

Cost for a team of 10 on annual billing, with 18% GST

On annual billing you pay the whole year upfront in dollars. A card that charges a 3.5% foreign currency fee, such as most SBI cards (SBI Card MITC), would add about ₹4,001 a year on 10 seats of Hubstaff Team and ₹4,669 on Time Doctor Standard, before tax on the fee.

Which is cheaper?

Hubstaff, plan for plan. But the cheaper plan often lacks what you came for, so compare the lowest plan that has the feature you need:

Lowest plan with each feature, annual billing with GST
You needHubstaff, lowest plan (annual, with GST)Time Doctor, lowest plan (annual, with GST)
ScreenshotsStarter, ₹561 (500 a seat a month)Basic, ₹750

One person working alone pays for 2 seats on Hubstaff because of the minimum: about ₹1,122 a month with GST on Starter annual, against ₹750 for 1 user on Time Doctor Basic.

Monitoring: how much each tool sees

Both tools measure keyboard and mouse activity and take screenshots. The difference is depth.

  • Hubstaff keeps screenshots optional, lets you set the rate per person, blur them or switch them off, and says it does not record keystrokes (Hubstaff). It does not record video.
  • Time Doctor takes screenshots at random points in an interval you choose (3 to 30 minutes) and can add continuous video of the screen on Premium (Time Doctor). It also offers an unusual activity report and a silent mode (pricing, help center).

If you plan to monitor staff in India, read our guide on whether employee monitoring is legal in India under the DPDP Act before you switch on screenshots or recording. Tell your team what you collect and why.

Field teams: GPS and geofencing

This is Hubstaff's clearest lead. Its mobile apps log location, and geofenced job sites start and stop the timer when someone arrives or leaves (Hubstaff GPS). It costs extra: the Locations add on is $3.33 per seat a month on Team (annual) and is not sold on Starter or Grow (pricing).

Time Doctor's help center lists mobile GPS tracking for Android only in Time Doctor 2 (help center). Its pricing page does not list GPS or geofencing, and its mobile app records hours only.

Payroll and invoicing for Indian teams

Both tools turn approved hours into pay amounts and hand them to payment services. Hubstaff calculates payments from approved timesheets and sends them to connected providers: Deel, Gusto, Wise, Payoneer and PayPal (Hubstaff payroll, Hubstaff invoicing). Time Doctor calculates payroll and exports CSV files for PayPal, Wise, Payoneer, Gusto, ADP or Deel (Time Doctor payroll).

This suits paying freelancers and contractors. Neither payroll page we checked mentions Indian statutory items such as PF, ESI or TDS, so plan on a separate Indian payroll tool or your CA for salaried staff.

For billing your own clients, Hubstaff has client invoices on every plan (pricing). Time Doctor's feature table has no client invoicing. Neither page mentions GSTIN or GST invoice formats.

Linux, Windows, Mac and mobile

Hubstaff has a Linux desktop app and lists several distributions (Hubstaff Linux). Time Doctor supports Ubuntu 20.04 or newer on Xorg; on Wayland it points you to its Chrome browser app (Time Doctor requirements). If your developers run Fedora or another distribution, Hubstaff is the safer bet. Test on your own machines during the trial.

What Indian buyers should know

  • Billing is in US dollars. Neither pricing page shows rupees. Time Doctor still showed dollars when we loaded it from an Indian IP address.
  • GST at 18% applies. A GST registered business usually pays IGST itself under reverse charge on imported software (Notification 10/2017, Integrated Tax (Rate)) and may be able to claim it back. Time Doctor's receipts come from Paddle with a tax line based on your place of business (Time Doctor receipt), so check you are not paying it twice. Ask your CA how this applies to you.
  • Card forex fees. Expect a foreign currency fee on your card, for example 3.5% plus tax on most SBI cards (SBI Card).
  • Refunds differ. Hubstaff offers a 30 day money back guarantee (pricing). Time Doctor does not refund after the trial except for downtime or an unprocessed cancellation (refund policy).

Which should you choose?

Choose Hubstaff if you

  • Run field, site or delivery teams and need GPS job sites
  • Want client invoices and contractor payouts in one tool
  • Use Linux beyond Ubuntu, or want the lowest starting price

Choose Time Doctor if you

  • Want deeper monitoring, including video screen recording
  • Have one user, or do not want a seat minimum
  • Want 2 years of data history included (Premium)
